Digital invoicing readiness checklist

A useful assessment starts with the invoicing operation you already run—not with an API endpoint in isolation.

Map the system of record

Identify where invoices originate, which system owns final values, how customers and items are identified, and where corrections are authorised.

  • Document ERP, POS, accounting, and custom-system boundaries
  • Identify every invoice-producing branch or channel
  • Confirm who owns configuration, credentials, and production support

Examine invoice data and scenarios

A happy-path sample is not enough. Build a representative scenario set from real operations and verify that required data is consistently available.

  • Sales types, customers, items, units, taxes, and references
  • Returns, cancellations, corrections, and exceptional workflows
  • Multi-branch numbering, timing, and reconciliation requirements

Define operational controls

Decide what happens when validation fails, a connection is unavailable, credentials change, or submitted and local records disagree.

  • Visible status and actionable validation feedback
  • Controlled correction and retry ownership
  • Audit trail, reconciliation, escalation, and support procedures
Use official requirements as the source of truth
